# Document Upload

ivySCI supports multiple ways to upload documents:

  1. Upload files or folders
  2. Upload after searching by DOI or title (only supports English)
  3. Upload by searching through search engines (supports Chinese)
  4. Manually add books, web pages, patents, standards, etc.

# File (Folder) Upload

Click the upload button on the main interface to open the file upload panel. The system defaults to file import.
ivySCI currently supports uploading PDF documents and does not support other formats (such as caj or Word).
After starting the upload, the system will automatically analyze the file, parse the document's metadata and references. The progress of the upload and analysis will be displayed at the bottom of the panel. Wait for the analysis to complete before opening the document.

# Upload Restrictions

  1. PDF file size is limited to 200MB. Files larger than 200MB cannot be uploaded. Please use the PDF Split Tool (opens new window) to split the PDF file.
  2. Caj files are not supported, but it is unnecessary to use the caj format because each caj file has a corresponding PDF file. Please refer to How to Download PDF Versions of Degree Theses from CNKI (opens new window)

# English DOI Upload

We can also upload documents by searching for the DOI or title. Please note that this method does not support Chinese DOIs (DOIs displayed in CNKI).

After finding the document by DOI, clicking on the document will display detailed information such as title, authors, abstract, etc. The abstract can also be translated using translation tools to help with understanding.

# Step 1: CTRL + K to bring up the global search window

After the window appears, select the search engine. The default is CNKI. If it is not, look for it in the search engine list.

If you don't remember the shortcut, you can also click the search icon on the left toolbar. But it's best to remember this shortcut so that you can use the global search on any page.

# Step 2: Enter keywords, open CNKI, and import documents

Just click the green button.

After opening a document, you can choose to import it to ivySCI. CNKI Step3

After clicking "Import to ivySCI", in the pop-up window, you can choose whether to import the PDF at the same time. CNKI Step4

At this point, the document (including bibliographic information) is downloaded. You don't need to worry about the Caj issue that many students are concerned about because we directly download the PDF file, not Caj, so there is no need for various magic tricks to convert it.

Please note that the above methods are only suitable for students and teachers within the school. If you are outside the school and encounter issues with downloading PDF documents due to CNKI's control of IP addresses, you may not be able to download the PDF documents. In this case, you need to consult your school on how to configure external network access. Since each school is different, we will not provide specific instructions here.

# Manual Import

If the document you want to import is a book (without PDF), patent, standard, or other document that does not include a PDF, you can use manual import and fill in the relevant information as required.

When manually entering, try to enter as much information as possible. Generally, the document type, language, title, authors, publication date, etc. need to be entered.

# Automatic Import

Automatic import allows ivySCI to monitor a directory on your local machine. Once there is a new PDF file (only supports PDF format) in the directory, it will be automatically imported into the project you specified. Then you can migrate it to the project you want. The entrance for automatic import is Settings -> Auto Import.

The switch for automatic import is off by default. After manually turning it on, you must select:

  1. The local folder for automatic import
  2. The default ivySCI project for import

Both are necessary. If either one is missing, automatic import will not take effect.

Files are imported by default into the default project. You can use the Document Migration method to migrate them to other projects.
